Purpose of the Administrative Assistant Job

1. Compliance Administration

  • Ensure all tasks follow RAF policies and internal process standards
  • Stay informed on updates to internal standards and control requirements

2. Office Coordination

  • Manage follow-ups and respond to all departmental requests on time
  • Monitor stationery supplies and ensure timely availability
  • Validate and capture accurate data
  • Allocate reference numbers and update documents on the system
  • Draft and send stakeholder communication

3. Document and Records Management

  • Follow the RAF filing plan and maintain up-to-date registers
  • Safely store and digitize documents with metadata tagging and indexing
  • Apply naming conventions and labels for easy access
  • Ensure compliance with data protection and archiving regulations

Competencies Required

Behavioural:

  • Planning, organisation, ethics, emotional intelligence
  • Service orientation and decision making

Technical:

  • Computer literacy (MS Word, Excel, PowerPoint)
  • Admin skills, document handling, and SCM knowledge
  • Basic financial understanding

Minimum Requirements

  • Matric / Grade 12 (compulsory)
  • NCV4 (IT) and National Archives Certification (advantageous)
  • 1–2 years of experience in information or archival management
